Critical Reports

Reports that are emailed to designated managers as soon as a “critical” tag is transferred to your data base.

  1. There is a web based entry form for each type of “tag”, i.e., a location, a person, an observation, an action, and an item.
  2. You will have the opportunity to prioritize each tag as normal, important and critical.
  3. If you prioritize a tag as “critical”, e.g., an accident, then as soon as that information is transferred to your data base, an email will be immediately sent to the managers you previously designated, regardless of the time of day.

Routine Email Reports

Reports that are sent on a scheduled basis, e.g., noon every day, 8:00 am every Monday, etc. These are generally summary reports showing:

  1. Number of days without reported activities by site over the last 24 hours, last seven days, etc.
  2. Number of locations not checked by site.
  3. Number of disturbances, accidents, safety issues, maintenance issues, etc. reported over a specific time frame.

Standard Reports

Standard reports typically fall into one of three categories: detailed facility reports; reports summarizing more than one facility or organizational entity; and exception reports (either one or multiple facilities/entities) that focus on performance metrics.

  1. Site level standard reports would normally be the most detailed reports. For example:
    1. A detailed chronological report showing all the recorded activities over a specified period time. This report would normally include all the associations for each activity.
    2. A detailed guard report showing when each guard signed in and out, and totaling the on-site hours for each guard during a specific time frame.
    3. A detailed report focusing on a specific activity and/or priority, e.g., important.
  2. Summary reports would normally combine selected information by sites or facilities; geographical areas or regions; organizational entities; or any other required grouping.
    1. A typical summary could be by all facilities in one general area.
    2. Another summary could be by offices; regions, corporate.
    3. You could even summarize by providers if they could be isolated by facility.
  3. Exception reports may be the most powerful when it come to improving performance. Rather than going through reams of detailed data searching for exceptions (activities that did not go as expected), use this Oversight-Inc report to compare to your established metrics.
    1. We have already created several reports that are common to many clients:
      1. Locations not checked
      2. Guards reporting late
      3. Too much time (or too little time) between checks
    2. There are many more possibilities. It would be fairly easy to create an exception report that compares many of the measurable elements contained in your contract with your guard force provider.

Custom Reports

Because of our data base design and specifically our powerful report writer (unlike typical software packages), it is fairly easy for Oversight-Inc technicians to create custom Oversight-Inc reports which you can access in addition to your standard reports.

  1. Your data base already exists, so we can easily access and associate any or all your associated variables over various time frames.
  2. Typically these reports can be used to compare actual performance to your company’s performance metrics, e.g., number of locations missed, number of late guards, number of days without reported information, etc.
  3. These types of reports can also be used to measure and compare performance for your various reporting entities.
    1. This can be done by organizational entities, by providers or even by clients.
    2. It can also be used to investigate issues or incidents.

Phone In (Real Time) Reports

Unlike all the other Oversight-Inc reports, these reports are independent of when the data was transferred to the data base. They are sent within five minutes of a scheduled activity being missed. They alert you by email and txt, that a scheduled activity did not take place as scheduled.

  1. Commonly this applies to guards not reporting for duty on time. Rather than getting the first call from your irate customer, Oversight-Inc alerts in less than five minutes that the guard did not report. You are now in a proactive position!
  2. While it was designed based on a client’s request for guards, it can be used for any of Oversight-Inc’s activities.
